To systematize the nomenclature, the legislator in Art. 2 of the <a href=\"https:\/\/btla.eu\/en\/tax-advisory\/vat-tax-consulting\/\">VAT<\/a> Act presented the invoice issued using KSeF as a structured invoice.   In KSeF, the accounting document takes the XML format, but its visualization looks like standard paper invoices.<\/p>\n<p>[\/et_pb_text][et_pb_code _builder_version=&#8221;4.21.0&#8243; _module_preset=&#8221;default&#8221; _module_preset=&#8221;default&#8221; text_font=&#8221;Exo|300|||||||&#8221; text_font_size=&#8221;16px&#8221; text_orientation=&#8221;justified&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<p>The obligation to invoice via KSeF will come into force:<\/p>\n<ul>\n<li>as of July 1, 2024 &#8211; for active VAT taxpayers, <\/li>\n<li>as of January 1, 2025 &#8211; for taxpayers exempt from VAT. <\/li>\n<\/ul>\n<h2>Invoicing procedure in KSeF<\/h2>\n<p>A simplified invoice route diagram for using KSeF can be reduced to a few simple steps:<\/p>\n<ol>\n<li>Creating an invoice in the invoicing program,<\/li>\n<li>sending an invoice to KSeF,<\/li>\n<li>processing of the sent invoice by the system = recognizing it as issued,<\/li>\n<li>acceptance of receipt of the invoice by the buyer,<\/li>\n<li>downloading the invoice by the contractor from the platform,<\/li>\n<li>posting the invoice in the buyer&#8217;s accounting records.<\/li>\n<\/ol>\n<h2>The role of accounting offices in the KSeF system<\/h2>\n<p>The operating pattern presented above may suggest that the entire invoicing process is the responsibility of the entrepreneur or contractor. However, it should be remembered that if a system for issuing invoices is made available to an entrepreneur as part of an <a href=\"https:\/\/btla.eu\/en\/accounting-and-payroll-outsourcing\/accounting-outsourcing\/\">accounting service<\/a>, the <a href=\"https:\/\/btla.eu\/en\/accounting-and-payroll-outsourcing\/accounting-outsourcing\/\">accounting office<\/a> is responsible for ensuring that the program is properly compatible with KSeF. <\/p>\n<h2>Changes in accounting agreements related to KSeF<\/h2>\n<p>Due to the emerging new obligations imposed on entities providing accounting services, it is worth, from the entrepreneur&#8217;s perspective, considering <a href=\"https:\/\/btla.eu\/en\/law\/business-law-firm\/contracts-in-economic-matters\/\">signing an annex<\/a> to the concluded accounting services contract.<\/p>\n<h2>Employee training and authorization management at KSeF<\/h2>\n<p>We must also remember that all accounting office employees should familiarize themselves with the rules for properly downloading invoices from the government system.<\/p>\n<h2>Benefits of the KSeF system for entrepreneurs and accounting offices<\/h2>\n<p>The KSeF system will also exempt you from the obligation to store and archive invoices. All of them will be stored directly in the system. <\/p>\n<h2>Preparations for the mandatory use of KSeF<\/h2>\n<p>Currently, using structured invoices is voluntary.
